Applies to personegy.ai and the Personegy platform
This policy is written for two readers at once: the candidate whose data moves through a Personegy customer's hiring process, and the legal team at that customer deciding whether it may.
Where those readers need different detail, the section says which one it is talking to.
What we collect
We collect information in three situations: when you visit personegy.ai, when you contact us or book a demo, and when you are a candidate in the hiring process of a customer that runs the Personegy platform. The third is by far the most significant, and most of this policy is about it.
As a candidate, the information collected is what you give during an application or conversation and what the customer's hiring process generates about you as it runs.
- You provide
- Name, contact details, work history, answers to screening questions, availability, and anything you type or say in a chat, text or voice screen.
- The process generates
- Which stage you are at, when you moved between stages, screen outcomes, interview bookings, and the transcript or recording of automated conversations.
- Site visitors
- Pages viewed, device and browser type, approximate location from IP address, and the cookies described below.
- We do not collect
- Information from your social media accounts, background or credit checks, or biometric identifiers.
How we use it
Candidate information is used for one purpose: to run the hiring process of the customer you applied to, as that customer has configured it.
That includes matching you to the requisition, screening you against its requirements, scheduling your interview, keeping you informed, and reporting to the customer on how its hiring is going.
We do not use candidate information to market to you, and we do not sell it. A customer may re-engage you about a later role at the same company if you agreed to that when you applied.
AI processing of candidate data
the legal and compliance teams at customers evaluating the platform, and for candidates who want the plain answer
Personegy uses automated systems, including machine learning models, in four places: to match candidates to a requisition's stated requirements, to run screening conversations by chat, text and voice, to summarize those conversations for a recruiter, and to schedule interviews.
This section says what those systems do and do not do.
The models do not make hiring decisions. They score a candidate against requirements the customer wrote for the requisition, in the customer's own words, and present that score and the underlying answers to a human recruiter who decides what happens next.
A candidate is never rejected by the system alone. Where a knockout rule exists (for example a legally required license), it is a rule the customer set, applied consistently, and visible to the recruiter as the reason.
Voice screens are transcribed and the transcript is stored on the candidate record alongside the recording. Candidates are told at the start of a voice or chat screen that they are speaking with an automated system, and can ask for a person at any point.
Models are not trained on an individual customer's candidate data without that customer's written agreement, and are not trained on candidates' voice recordings.
Customers can request the requirements, weighting and outcome for any candidate the system scored, in a form suitable for an internal audit or a regulator. Candidates can request the same for themselves through the rights described below.
- Matching and scoring
- Against requirements the customer wrote. Presented to a recruiter, who decides.
- Chat, text and voice screens
- Automated conversation, disclosed as such. A person is available on request.
- Summaries
- A model condenses the conversation for the recruiter. The full transcript is kept and available.
- Scheduling
- Reads calendars, offers slots, books the one the candidate picks. No assessment involved.
Who we share it with
Candidate information belongs to the customer whose role you applied to, and is shared with them by design: it is written to their applicant tracking system as part of their candidate record. Beyond that, we share it only with the providers we need to run the platform, under contracts that limit them to that purpose.
- The hiring customer
- Your prospective employer, through their ATS (Workday, iCIMS, ADP, SAP SuccessFactors or another connected system).
- Infrastructure providers
- Cloud hosting, telephony for voice and text, and calendar services. The current list is available on request.
- NXTThing
- Where the customer has also engaged NXTThing recruiters, those recruiters work on the same record under the customer's instructions.
- Legal requirements
- Where required by law, court order or to protect the rights and safety of candidates, customers or the public.
Your rights and how to exercise them
Depending on where you live, you may have the right to access the information held about you, correct it, have it deleted, restrict or object to its processing, receive a copy in a portable form, and ask for a human review of any automated assessment.
For candidates, the customer you applied to is the controller of your data, and the fastest route is usually to ask them, and we support every customer in responding. You can also contact us directly using the details at the end of this policy and we will route the request.
We respond within the time the applicable law requires, and we will not treat you differently for exercising a right.
